Privacy Policy
How VELORA handles information submitted through its waitlist and pilot-testing forms.
Introduction
VELORA is a pre-launch intelligent reception service owned and operated by Tansir Artificial Intelligence & Quantum Company Limited. That company is the data controller for information submitted to the VELORA waitlist and pilot application forms.
This Privacy Policy explains how personal information is collected, used, and protected when visitors interact with the VELORA website, join the waitlist, or express interest in participating in future pilot programmes.
The current website is intended for pre-launch registration and research. It does not provide live reception services.
Information We Collect
When you join the VELORA waitlist, we collect your business email address.
If you submit a pilot application, we also collect your business email address and any of these optional answers that you provide:
- Your business type or industry.
- Your approximate incoming call volume.
- Your primary reception or customer communication challenges.
- Your business name, where voluntarily provided.
We also record registration and update times, status, limited email-delivery details, and short-lived keyed identifiers used to limit repeated requests. Our hosting and service providers may process technical request information needed to operate and secure the website.
Important notice: We do not request payment information, account passwords, or sensitive personal information through the waitlist. Please avoid submitting confidential customer information or sensitive business records through any waitlist or questionnaire forms.
Why We Collect Information
We use information submitted through the website to:
- Manage waitlist registrations.
- Prevent duplicate submissions.
- Record and administer pilot applications and their submitted answers.
- Send a confirmation of a newly recorded waitlist registration or pilot application.
- Contact selected applicants separately about a possible pilot.
- Maintain website security and reliability.
- Handle privacy requests and applicable legal obligations.
Registration does not enrol you in a marketing list. Product updates and other promotional email are outside the current registration workflow.
Lawful Basis for Processing
We process personal information only where an appropriate lawful basis applies under UK data protection law (the UK General Data Protection Regulation and the Data Protection Act 2018).
We rely on legitimate interests to record the registration you request, review a pilot application you submit, send its receipt, contact selected applicants about their application, and protect the website from misuse. Our interests are administering a dependable pre-launch waitlist and pilot selection process. We limit the information collected, restrict access, and do not use these submissions for unrelated marketing.
We rely on legal obligation where a specific law requires us to handle a privacy request or retain information. You may object to processing based on legitimate interests; we will consider the circumstances and your rights.
Waitlist Communications
Joining the VELORA waitlist records your interest in the proposed service.
A newly recorded registration may trigger an automated confirmation email. A pilot application may trigger its own receipt. Receipt by an inbox is not guaranteed merely because the request was recorded.
We do not treat a waitlist or pilot submission as permission to send unrelated marketing. We do not add applicants to a promotional mailing list. Any future marketing would require a separate assessment and any permission required by law.
You may request removal from the waitlist using the privacy address below. We will verify the requester before changing or disclosing a record.
Pilot Testing Applications
Participation in VELORA's pilot-testing programme is entirely optional.
The optional answers describe business category, business name, approximate daily call volume and the main customer-communication challenge. The application also requires a business email address.
A newly recorded application may receive an automated receipt. Only selected businesses may be contacted separately about a possible pilot.
Submitting an application does not guarantee selection, access, or participation. Businesses selected for future testing may be asked to agree to additional pilot evaluation terms before participating.
Storage and Security
Registration information is stored using Convex. Submissions are validated on the server, access to registration records is restricted to internal operations, and repeated requests are limited.
Our website and registration system use measures including:
- Server-side validation.
- Restricted internal access to registration records.
- Rate limits and proportionate abuse controls.
No electronic system can guarantee absolute security.
Service Providers and International Transfers
We use Convex to store and process registration information and Resend to send transactional confirmation emails. Our website host processes technical request information needed to serve and protect the website. We do not add applicants to a marketing audience.
Some provider processing may take place outside the UK, including in the United States. The provider and location involved depend on the service used. You can ask us about the arrangements relevant to your information using the privacy contact below.
Cookies and Tracking
The current VELORA website does not use advertising trackers, behavioural profiling, or analytics cookies in its application code.
Essential technical storage may be used where required for website functionality or security.
Any future introduction of non-essential tracking technologies will be assessed against applicable UK privacy requirements and accompanied by an appropriate consent mechanism.
Data Retention
We review waitlist registrations 12 months after the original registration. A repeat submission does not restart that period. We keep a record beyond the review point only where an ongoing purpose is recorded.
We review unsuccessful pilot applications for deletion six months after the relevant pilot selection process ends. We keep limited email-delivery information to manage sending, failures and related enquiries; it has no automatic deletion period. Short-lived rate-limit identifiers are removed after their enforcement windows. Hosting and provider logs follow their operational retention arrangements.
Retention reviews and deletion of registration records are carried out by authorised people; they are not automatic. We consider verified requests for earlier erasure, subject to any lawful reason to retain information.
Individuals may request deletion of their information at any time, subject to applicable legal or regulatory exceptions.
Your Rights
Under applicable UK data protection legislation, individuals have statutory rights regarding their personal data, including the right to:
- Access personal information held about them.
- Request correction of inaccurate information.
- Request erasure in appropriate circumstances.
- Object to certain processing activities.
- Request restriction of processing.
- Request data portability where applicable.
- Withdraw consent where processing relies on consent.
- Lodge a complaint with the Information Commissioner's Office (ICO).
Some rights depend on the specific circumstances and lawful basis for processing.
You may object to processing based on legitimate interests. We will consider your objection in line with applicable law. You may also complain to the Information Commissioner's Office if you are concerned about how we handle your information.
Children
The VELORA waitlist is intended exclusively for adults acting in a business or professional capacity.
We do not knowingly solicit or collect personal information from individuals under 18 years of age.
Changes to This Policy
We may update this Privacy Policy as VELORA develops.
Material changes to the information collected or the purposes for which it is processed will be reflected in an updated policy posted on this page with an updated effective date.
